Smarter Task Management, Better Resident Care: The Silver Trees Story

The Organisation

Silver Trees Care Home is located in Nailsea, near Bristol, and is operated by Handsale Ltd. The home supports up to 62 elderly residents. The Activities team delivers a varied programme of daily activities and events designed to support residents’ wellbeing, engagement and quality of life.

The Challenge

Before Got‑This, the Activities team organised their workload using WhatsApp messages, paper notes and informal conversations. While quick to use, this approach made it difficult to track progress, prioritise work and ensure important actions were not forgotten. Tasks could easily be lost, ownership was unclear, and there was limited visibility of what had been completed or was still outstanding.

The Solution: Got-This

Silver Trees introduced Got‑This to give the Activities team a simple, visual way to plan, organise and complete their work. Got‑This replaced fragmented communication with a single shared board, bringing structure without adding complexity.

How Got-This Is Used

The Activities team uses Got‑This to manage all aspects of their day‑to‑day work:

  • Daily reminders for Facebook and social media posts
  • Planning resources and preparation for engaging activities
  • Scheduling and tracking one‑to‑one sessions with residents
  • Reminders for organising time‑sensitive activities and events
  • Manager communications and team updates
  • Clear ownership and tracking of tasks to completion
  • Quick discussions to clarify tasks and expectations
  • Announcements to communicate important events

The Impact

Got‑This introduced much‑needed structure and visibility to the Activities team’s workload. Everyone can now see what needs doing, who is responsible, and what has already been completed, reducing stress and the risk of important tasks being missed.

Key Benefits

  • Clear, shared view of all activities and responsibilities
  • Reduced reliance on memory, messages and paper notes
  • Improved communication within the Activities team
  • Better organisation of time‑sensitive activities
  • Greater confidence that important tasks are completed
  • Clear evidence available for CQC inspections

“Got‑This means we no longer have to write things down on paper and we now have the evidence for CQC ready to hand.”

The Results

By moving to a single, visual system for managing the activities and wellbeing team tasks, the team at Silver Trees has gained clarity, consistency and confidence. Got‑This helps the Activities team spend less time organising work and more time focused on residents and their wellbeing.

“The activities team can now spend more time with residents running an engaging activities programme and supporting their wellbeing.”
